Administration Assistant [India]

We are seeking a highly organized and proactive Female to join our team as an Assistant to the Director. In this role, you will provide comprehensive administrative and operational support to the Director, ensuring smooth day-to-day operations and effective communication within the organization. The ideal candidate will have exceptional organizational skills, excellent communication abilities, and the ability to handle confidential information with discretion.

Responsibilities:

Administrative Support:

  • Manage the Director's calendar, schedule appointments, and coordinate meetings.
  • Prepare and distribute agendas, documents, and presentations for meetings.
  • Take meeting minutes and follow up on action items.
  • Handle incoming calls, emails, and correspondence, prioritizing and responding as appropriate.
  • Prepare and edit reports, memos, and other documents.
  • Maintain an organized filing system, both electronic and physical.
  • Coordinate travel arrangements and itineraries for the Director.
  • Assist in preparing expense reports and managing reimbursements.

Communication and Coordination:

  • Serve as a liaison between the Director and internal/external stakeholders.
  • Facilitate effective communication by managing incoming and outgoing correspondence.
  • Coordinate and facilitate internal and external meetings, including logistics and materials.
  • Collaborate with other departments and team members to ensure timely execution of projects and tasks.
  • Maintain contact lists and databases, updating them as needed.

Project Assistance:

  • Assist the Director in planning, organizing, and executing special projects or events.
  • Conduct research, gather data, and prepare reports or presentations as required.
  • Track project timelines, deliverables, and progress, ensuring deadlines are met.
  • Assist in coordinating and following up on assigned tasks with team members.

Information Management:

  • Collect, compile, and analyze data to generate reports and insights.
  • Maintain confidentiality of sensitive information and handle it with discretion.
  • Organize and maintain electronic and physical documents, files, and records.
  • Conduct data entry and maintain accurate records and databases.

Office Management:

  • Assist in managing office supplies, inventory, and equipment maintenance.
  • Coordinate and oversee the maintenance of office facilities and equipment.
  • Liaise with vendors and service providers to ensure smooth office operations.
  • Support other administrative tasks and projects as needed.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field (or equivalent experience).
  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Proficiency in using office software (e.g., Microsoft Office Suite).
  • Exceptional attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving and decision-making abilities.
  • Ability to multitask, prioritize, and meet deadlines.
  • Strong interpersonal skills and ability to work collaboratively in a team.
  • Professionalism, integrity, and a positive attitude.

Job Type: Full-time

Salary: ₹15,000.00 - ₹30,000.00 per month
